What every professional invoice template must have
- Logo + business block — name, address, email, phone exactly as on tax records.
- Sequential number + dates — INV-2026-001, issued + calendar due date. See numbering guide.
- Bill-to block — human + company + email; GSTIN for B2B India.
- Itemized lines — deliverable + qty + rate. No “services $2,000”.
- Tax row done right — e.g. ₹20,000 + 9% CGST + 9% SGST = ₹23,600 same-state, or 20% VAT in the UK. Copy slabs from your last accepted bill and confirm with your CA — this is format help, not tax advice. See GST format.
- Bold total + currency — $550 USD / ₹23,600. Unmissable.
- Payment terms + method — Net 15, UPI/bank/Stripe printed on the page.
- Reference + notes — quote/PO number, late-fee line, thank-you.
Quick aside: I keep one “golden” invoice (INV-2026-001, the $550 test bill) as my visual reference. Every new template gets compared to it. If totals are not equally scannable in 3 seconds, the template fails.
Which should you pick? (decision in 30 seconds)
- Freelancer, 1–10 bills/mo → online PDF maker. Make it free, download, send. Done.
- Agency with hourly tables → Sheets for math, maker for output. Calculate in Sheets, retype 5 lines into the maker for the client PDF. 3 extra minutes, 10× more professional.
- Enterprise client demanding .docx → Word. Rare, but some procurement teams insist. Keep math triple-checked.
